Since the first circular was sent out, over 180 scientists
have returned the preliminary registration form, together with
165 provisional paper titles for oral or poster presentation.
At this point, it seems that the Conference will have a fair balance
between taxonomic, biological and ecological contributions. Three
special plenary sessions are planned to cover the following topics:
Besides being e-mailed or faxed to all the scientists
who sent the preliminary registration form, this circular will
be available at the addresses
from 10 September 1997 on.
Regular information updates on plans for the conference will be made available through the ANNELIDA list, moderated by Geoffrey Read. To subscribe just type subscribe annelida in the body of an e-mail to <biosci-server@net.bio.net>.
Fill out the appended registration form carefully.
The requested information will be considered definitive.
Conference venue
Changes were made for the better. All sessions and meetings will be held in the Teatro da Reitoria (Theatre of the Presidency) of Universidade Federal do Parana, Rua XV de Novembro, 1299, in downtown Curitiba, a walk of just 2-15 minutes from a number of hotels selected by the Organizing Committee. The theatre, with a capacity for 500 people, will be provided with all conference facilities for oral sessions and poster displays. Other facilities (such as e-mail and WWW access, fax, photocopies) will be available at the reception room.
Registration and all scientific activities will be
held at the Teatro da Reitoria, Universidade Federal do Paraná.
Location of social events will be further detailed in the third
circular. A detailed programme including abstracts of papers and
posters will be printed and delivered at the reception room of
the conference venue.

The language of the conference is English and no
translation facilities will be provided. Only one paper or/and
one poster will be accepted from each participant. Both papers
presented orally and posters can be submitted for publication.
The Organization Committee strongly suggests that taxonomic descriptions
or revisions be displayed as posters. Participants who have not
decided between a poster or an oral contribution are asked to
send us this information as soon as possible.
Since there will be no parallel sessions, each participant
will be allowed 20 minutes, including discussion, for oral contributions.
This time limit will be strictly observed by chairpersons. If
you need any special facilities for your oral presentation, please
consult the Organizing Committee. It will not be possible to read
papers for persons not present at the conference.
Each poster will be allocated 1.00 x 1.00 m space. Posters will be on display during two 2-hour sessions. All posters must be in English. Do keep text to a minimum and include a photograph of the author(s). Half of the authors will be scheduled for the Tuesday afternoon session and half for that on Friday. Depending upon final arrangements and time availability, short overviews (maximum of 3 minutes) of poster contributions will be provided in a special plenary session. Among the posters, one will be selected for an award as the 'best poster' by a Sub-Committee chosen among the Advisory Council members. The award consists of a diploma, conference T-shirt and waiver (cash) of the conference fee. The award will be presented at the plenary session on Friday afternoon. The selection will be based on the poster's scientific content and on the graphic design and layout.
All participants must submit an abstract in English.
If your native language is not English (and even if it is
English) please have the text carefully edited. The abstract(s)
must be sent together with the registration form. They should
not exceed 350 words, not including the title of the paper, full
names, and addresses of author(s). All abstracts should be computer
edited (preferably in WordPerfect or Word for Windows) and e-mailed
or faxed not later than 1 February 1998. Do not worry about font
type or size, alignments, and so on. All abstracts will be standardized
by the Organizing Committee before preparation of the final programme.
Please indicate which wordprocessing programme has been used.
The contributed papers and abstracts will be submitted
to peer review and published by the Bulletin of Marine Science.
The proceedings will be edited by Donald Reish, with Paulo Lana
as a co-editor. Information on manuscript preparation, mailing
and processing are available in recent issues of BMS. Please follow
carefully all the instructions. The papers must not exceed 8 printed
papers, including figures and references (around 625 words per
printed page and about 27 references to a printed page). Every
page, including tables and references, must be double spaced.
At this point, BMS charges US $ 75.00 for each additional page.
A very important detail is that all papers must be submitted on
21.5 X 28.0 cm (8.5 X 11 inches) paper and not 21 X 29.5
cm paper. The reason for this is that the U.S.Postal Service
fast mail and Overnight Express services (which will be used to
speed the process) can not accommodate the larger sized paper.
Introduction of new names will not be accepted in abstracts.
Letter of invitation
The Conference chairman will be pleased to send a
letter of invitation, on the understanding that such a letter
will help potential participants to raise funds, or obtain a visa.
It will not be a commitment on our part to provide financial support,
unless formally indicated. You may request an invitation letter
directly from Paulo Lana (lana@aica.cem.ufpr.br).
Registration and fees
US $ 220 for participants until 1 February 1998,
US $ 260 later. US $ 140 for students, irrespective of registration
date. The registration fee will entitle you to admittance to the
conference, conference materials, one copy of the proceedings
and final programme, reception cocktails, coffee breaks, conference
banquet, and mid-conference tour.
US $ 80 for accompanying spouses, friends and children
until 1 February 1998, US $ 100 later. The registration fee will
entitle accompanying persons to attend the scheduled social programme
(price of tickets to trips and tours will be kept to a minimum),
mid-conference tour, social receptions and the scientific programme.
Details of the social programme will be provided in the third
circular.
Please use the enclosed registration form to register for the conference and associated events and to provide information about hotel reservations in Curitiba. Please follow the instructions carefully and return your form not later than 1 February 1998.
Accommodations
The Organizing Committee will be happy to arrange your hotel accommodation. All hotels are situated within easy walking distance of the conference venue. All rooms are provided with private bathroom, washbasin and shower or bath. Breakfast and taxes are also included. There will be three categories of hotels:
Category A - (two stars, very simple, US $ 30 to US $ 50 single room, US $ 40 to US $ 60 double room, US $ 70 triple room)
Category B - (three stars, US $ 50 to US $ 70 single room, US $ 50 to US $ 80 double room, US $ 80 to US $ 100 triple room)
Category C - (four stars, US $ 80 to US $ 100 single room, US $ 90 to US $ 120 double room, US $ 130 to US $ 140 triple room)
20% deposit of total cost is required to guarantee
arrangements with hotels. Booking of the hotels will have to be
made not later than 1 February 1998. Reservations will
be made on a first come, first served basis. Early booking is
recommended as on-site availability cannot be guaranteed. Breakfast
and taxes are included in all prices. Price of meals varies from
US $ 5 to US $ 20.
Lunches for Monday 3,
Tuesday 4, Wednesday 5 (mid-conference day), Thursday 6, and Friday
7 will be provided at the cost of US $ 8.00 per meal.
Travel to Brazil and Curitiba
Useful information and practical advice about the
country are exhaustively presented in the Brazil volume of the
Lonely Planet series of tourist guides. Also take a look at:
Visas - Brazilian visas are necessary for citizens of countries which require visas from Brazilian citizens. Please check carefully if you will need a visa or not. Participants requiring a visa for entry in Brazil are strongly advised to make their application in their home country at least one month before the date of travel. Visas are valid for a 90-day stay in Brazil. In case of doubt, additional information can be obtained at the nearest Brazilian Embassy or Consulate or from travel agencies. If you are not going to fly directly to Brazil, please check if you will need a transit visa.
Money, Insurance, Vaccinations - US cash dollars are much easier to trade, but traveler's checks are an insurance against loss. International credit cards like Visa, American Express and MasterCard are widely accepted. A travel insurance policy to cover medical problems, theft and loss is a wise idea. If you plan to visit the Amazon, a yellow fever vaccination is mandatory.
Flight connections - There
are a number of daily flights from Rio de Janeiro, São
Paulo and Porto Alegre International Airports to Curitiba International
Airport. Details on transportation from Curitiba airport to downtown
will be provided in the third circular.
Mid- and post-conference tours
The mid-conference tour will be carried out as described
in the first circular. It will be free to all registered participants
and registered accompanying persons but will not include lunch
(US $ 8.00). Unregistered accompanying persons may take part for
US $ 20.00 per person.
At this point, the Organizing Committee is unable
to schedule reasonably priced post-conference tours. Final prices
of hotels and air tickets will heavily depend upon number of confirmed
participants. Distances involved, either to Iguazu Falls and the
Amazon or to the northeastern seaside resorts, are huge, and prices
of regular air tickets are correspondingly high (from US $ 800
to US $ 1,200). Flights are an absolute necessity for a 5-7-day
tour, involving at least two or three main destinations.
A good and reasonable alternative is to purchase
the Brazil Air Pass (Varig). It now costs US $ 490 and
buys you five flight coupons for five flights. All travel must
be completed within 21 days. Based on the present situation, the
Organizing Committee has decided only to schedule and organize
post-conference tours to those participants who confirm the purchase
of such a pass. Otherwise, final prices of the two proposed tours
will be two to three times higher. However, we will be glad to
help you individually with all the information and help to travel
in Brazil just after or before the conference.
Pre- and post-conference courses
Two courses associated with the conference will be
offered to students and other interested participants.
A (probably pre-conference) course is being organized
by Cecília Amaral, Edmundo Nonato and Paulo Paiva, who
will invite some keynote speakers to present and discuss topics
on polychaete ecology and comparative biology. This will be offered
in São Sebastião (São Paulo), about 600 km
northeast of Curitiba, and will last about five days.
A two-week post-conference course will deal with
"Polychaetes and Cladistics". It will be directed by
Greg Rouse, with the participation of Kristian Fauchald and Fredrik
Pleijel. Paulo Lana will be responsible for the logistics support
in Pontal do Sul (a seaside resort about 110 km from Curitiba).
More detailed information about both courses will
be soon provided through the ANNELIDA list.
